Preparing for embroidery machine delivery: power, access and receiving checks
2026-10-30
Once an equipment model is selected, prepare the receiving site as well. Recording power-supply information, the access route and delivery responsibilities helps both sides identify unresolved items before arrival. Use this checklist with your supplier, carrier and site team; the final equipment documents and transport arrangements define the requirements.
Collect the documents for this order
Request the agreed configuration, number of packages, dimensions and weight of each package, and handling requirements. These can differ by model and configuration. Do not arrange transport using packing information from a different machine or an earlier quotation. Mark unresolved information as pending.
Machine dimensions, packing dimensions and handling clearance are separate details. Confirm them with the supplier and carrier, and ensure the site team uses the same document revision.
Separate three responsibilities before arrival
| Area | What to agree | People involved |
|---|---|---|
| Transport and unloading | Delivery point, appointment, unloading conditions and who provides any required equipment | Buyer, supplier and carrier |
| Moving into the site | Route from unloading point to final position, floors, doors and turns | Buyer’s site coordinator and handling contractor |
| Power and operating preparation | Order-specific supply requirements, site conditions and operating documents | Supplier, buyer and a qualified site electrician |
Have the site team check the supply requirements
Ask the supplier to confirm voltage, frequency, phase and connection requirements for the ordered machine in writing. Have a qualified site electrician assess the available supply. Plug appearance or another machine’s specifications are not sufficient to establish compatibility. Wiring, conversion or site alterations should be handled by qualified professionals under applicable requirements.
This checklist gives no universal wiring instructions or supply values. Keep the model, configuration and document revision with the confirmed requirements. Resolve inconsistencies before energising the equipment.
Review the entire route from the unloading point
Record doorways, lifts, corridors, steps, turns and the intended machine position. Give the handling contractor photographs and measurements alongside the final packing dimensions, weights and handling requirements. Agree whether additional unloading arrangements are needed.
Do not dismantle the machine, tilt it or choose lifting points without confirmation from the supplier and professional handling contractor. The plan must suit the actual equipment and site conditions.
Keep a clear receiving record
- Check the delivery address, transport documents and number of packages.
- Where safe, photograph the outer packaging and labels and record visible damage or irregularities.
- Report issues through the channels and procedures agreed for the shipment, retaining original photographs and documents.
- Follow the agreed unpacking process and compare equipment, accessories and documents against the supplied-items list.
- Proceed with later operations only after safety and preparation conditions are confirmed, following the equipment instructions and supplier’s arrangements.
Delivery acceptance, exception reporting, claims procedures and deadlines depend on the carrier arrangements and order terms. A general checklist does not replace those specific conditions.

Frequently asked questions
Can I book handling using packing details on a product page?
Confirm the final packing documents and handling requirements for your order before booking. General pages or another model’s information are not sufficient.
Does the quotation automatically include unloading and positioning?
Confirm each item. State the transport endpoint, unloading, movement into the site and cost responsibilities in the quotation or order rather than using “delivery” to describe every service.
When are freight and payment confirmed?
Confirm the configuration, receiving details, transport scope and freight first. Then agree the total and pay through the payment link. Unconfirmed freight does not mean free shipping.
