How to review an embroidery sample: placement, appearance and revision records
2026-10-29
A clear sample approval record gives both sides a shared reference for the intended result. Alongside finished photographs, record placement, the cap or fabric, design revision and acceptance criteria. Use the checklist below to organise a sample review before confirming an equipment order.

Identify the version being reviewed
A design with revised dimensions, colours or an updated embroidery file represents a different set of conditions. Give each sample a unique reference, such as SAMPLE-01, and record its date, file name and revision. When a change is made, create a new record rather than replacing the old photographs.
Identify the cap, garment or fabric by its style and batch. If no style code exists, add a reference label and retain front, side and inside photographs. This makes “the approved cap” a specific, traceable item.
Record six review items
| Item | What to record | How to confirm |
|---|---|---|
| Sample identity | Reference, date, style and material or cap construction | Overall photograph showing its label |
| Design revision | File name, revision, colour arrangement and intended width and height | Retain the file and preview used for this sample |
| Placement | Reference points and distances from seams or edges | Annotated photograph and measurement method |
| Front appearance | Observations on readable lettering, edges, fill and alignment | Overall and detail photographs with accepted items and requested changes |
| Reverse and finishing | Thread tails, backing and finishing requirements | Reverse-side photograph and agreed treatment |
| Decision | Accepted items, changes, resampling arrangements and approver | Retain written confirmation from both sides |
Agree on a placement measurement method
“Move it up slightly” can mean different things to different people. Mark reference points on a photograph, such as the centre seam, brim join or garment edge. State whether distances are measured to the design edge or centre, then use the same method to check dimensions and position.
Agree any acceptable variation against your actual requirements. This article does not prescribe a universal tolerance. Review seam-crossing designs, edge placement and different cap constructions separately rather than transferring one sample result to another condition.
Retain the physical sample and its conditions
Photographs help document appearance, but lighting, angle and displays can affect colour and detail assessment. State any specific requirements for colour, feel, reverse-side finishing or use before sampling. Where needed, agree checks using the physical sample.
Record known conditions such as backing, needle, thread and configuration. Mark unresolved items as pending rather than inferring them from photographs. Approving a sample does not automatically establish results for other materials, designs or production orders.
Control revisions after a change
- List the exact requested changes and cite the sample reference.
- Record the new design or cap revision without overwriting the earlier record.
- Review the affected items again on the revised sample.
- Include the final accepted revision and configuration in the order discussion.

Frequently asked questions
Can the video define the acceptance standard for my order?
The video shows a demonstration. Agree your acceptance criteria against the actual cap or fabric, design and placement intended for your order.
Should a colour-only change have a new revision?
Recording it is helpful. Identifying the change and its revision supports traceability and reduces confusion about which design file to use.
Is sample approval the only step before payment?
Also confirm the equipment model, configuration, accessories, delivery details, freight and order total. The current process is to confirm these items before paying through a payment link.
