Planning mixed embroidery orders: a worksheet for styles, quantities and changeovers

2026-10-31

An order of 100 items can mean one design repeated 100 times or ten designs made ten times each. Those are different requirements to discuss before selecting equipment. Break the work down by product, design and placement so the supplier can understand the mix and changeovers. Use this worksheet to organise the discussion.

Record more than a total quantity

A total does not show the quantity for each style, whether designs differ, whether placement changes or whether everything must be delivered together. Create one line for each combination of product style, design revision and embroidery position. If one changes, record it separately.

A garment batch with a chest logo and cuff lettering needs two placement records. State that both concern the same finished garments, so processing steps are not mistaken for additional products.

What belongs in the worksheet?

Field What to enter Purpose
Order and product reference Order, style or photograph reference Identify the actual product
Design and revision File name, revision, dimensions and colours Identify repeated and different designs
Placement Annotated photograph and measurement reference Assess each set of conditions
Finished quantity Quantity per style; flag multiple placements on the same items Avoid double counting
Delivery plan Target date, split-delivery options and priorities Clarify timing requirements
Open questions Pending artwork, samples, attachments or configuration Resolve missing planning information

Example: separate placements on the same batch

These numbers illustrate the worksheet only. They are not output figures or delivery commitments.

Batch Embroidery task Finished items concerned
Garment style A Chest logo LOGO-A-v1 30 garments
Style A, same batch Cuff lettering TEXT-A-v2 The same 30 garments
Cap style B Front logo CAP-B-v1 20 caps

This concerns 30 garments and 20 caps, not 80 finished items obtained by adding every line. Linking placements to the same batch helps prevent quantity misunderstandings. Suitability and sample requirements still need separate review for each placement.

Describe what changes during a changeover

A changeover may involve the design file, colour arrangement, product, placement or mounting configuration. You do not need to invent a duration for each change. Describe what changes, how often you expect it and whether orders are likely to repeat.

Label estimates as estimates. Planning times should come from records or assessments corresponding to the actual products, designs and operating conditions. They should not be calculated directly from a machine’s maximum stated speed.

Discuss machine selection using the order mix

Share the worksheet with the supplier to review embroidery area, mounting methods, attachments and sample assessments. Whether a head count or configuration suits the work depends on those requirements. A large total or many styles alone does not establish the right model.

Ask the supplier to identify confirmed requirements, sample-dependent items and optional equipment line by line, then consolidate them into an agreed configuration and supplied-items list. Keep provisional designs marked as pending rather than treating an initial proposal as a confirmed order.

A changeover record you can copy

Date: ____; order/product reference: ____; previous design revision: ____; next design revision: ____; product or placement changes: ____; mounting/attachments to confirm: ____; observations under actual conditions: ____; unresolved issues: ____.

Frequently asked questions

Can I start without an embroidery file?

Start with an artwork preview, dimensions, colour requirements and product photographs, marking the file as pending. Supply the corresponding details as sample and configuration assessment progresses.

Can the same design on caps and garments share one line?

Record them separately. Product construction and placement differ and need their own review, even when artwork is the same.

Does a completed worksheet mean I can pay immediately?

Also agree the model, configuration, accessories, delivery details, freight and total before payment through the payment link. The worksheet does not replace the final order.
